Job Deion – Legal Administrative Assistant

This full-time position involves providing legal administrative support to the lawyers of Whyley Legal Counsel & Labour Relations. The firm is a boutique labour and employment law firm located in downtown Saskatoon.

Qualifications

This position requires a legal assistant diploma and ideally, a minimum of 2 years’ experience working in a law firm (or in a similar administrative office environment). Experience in a litigation-based practice and a small firm environment would be beneficial; however, more importantly, we are looking for a motivated and responsible individual to work within our team.

The position requires proficiency in Microsoft Office 365 products, such as Outlook, Word, PowerPoint, and Excel. It also requires the ability to coordinate and supervise external service providers for document organization and printing, couriers, process servers, and other services. The firm has a mostly paperless file management system and cloud-based legal accounting software.

·        Excellent document formatting and file organization skills;

·        Ability to take instructions accurately, set priorities, and adapt to client demands; and

·        Excellent client communication skills (both verbal and written).

Examples of day-to-day duties may include:

  • Word processing, formatting, and proofreading legal documents and correspondence;
  • Organizing and working with pdf files to assemble electronic or printed document books and case law books;
  • Use of cloud-based software to perform conflict searches and to open and close files;
  • Providing reception duties, and coordinating courier and mail services;
  • Scanning, saving, renaming, and organizing client documents;
  • Communicating with clients on administrative matters;
  • Serving and filing materials with proof of service with courts and tribunals;
  • Assisting lawyers with file management and coordination;
  • Keeping the reception, kitchen area and print room tidy and organized; and
  • Other duties as assigned.

Compensation

Whyley Legal offers a competitive salary, benefits, free scramble parking and a healthy, positive work-life balance. The hours for this position are Monday to Friday, 7.5 hours a day (37.5 hours per week) predominantly in person, with options for some remote work hours to be negotiated.

Other Requirements

A criminal background check will be required for the successful candidate.
